For home or personal use, you can choose from two Microsoft 365 subscriptions: Microsoft 365 Family or Microsoft 365 Personal.However, your Microsoft account — the email address and password you use to install Office — can have only one active Microsoft 365 subscription. If you add the same Microsoft 365 subscription to your Microsoft account, you’ll have the same subscription benefits. Step 1 – Expired. When your Microsoft Office 365 Subscription expires for the first time, during the next 30 days your account will have an expired status. Contrary to what the name suggests, your Office 365 usage will not be hindered in any way. All of the installed applications can be launched along with the ability to install new applications.

If your subscription ends—either because it expires, or because you decide to cancel—your access to Microsoft 365 services, applications, and customer data go through multiple states before the subscription is fully turned off, or deleted. If you are aware of this progression, you'll be better equipped to return your subscription to an active state before it's too late, or—if you're leaving Microsoft 365—back up your data before it is ultimately deleted.

What happens to data when a subscription expires?

Subscription
  • If your subscription expires, it goes through the following stages: Expired / Disabled / Deleted. The Expired stage starts immediately after the subscription has reached its end date.
  • If you turn off recurring billing on your annual subscription, it goes through the same stages as an expired subscription. The first stage starts are the anniversary of the annual subscription, not starting on the date that you turned off the subscription's recurring billing setting.
  • If you cancel your monthly subscription, it is disabled immediately (at the date of cancellation). This means your users lose access to the Microsoft 365 assets immediately and only admins have access to the data for the next 90 days.

The following table explains what you can expect when a paid Microsoft 365 for business subscription expires.

What happens if I cancel a subscription?

If you cancel your subscription before its term end date, the subscription skips the Expired stage and moves directly into the Disabled stage, which is 90 days for most subscriptions, in most countries and regions. We recommend that you back up your data before canceling, but as an admin, you can still access and back up data for your organization while it is in the Disabled stage. Any customer data that you leave behind may be deleted after 90 days, and will be deleted no later than 180 days after cancellation.

Here's what to expect for you and your users if you cancel a subscription.

  • Admin access Admins can still sign in and access the admin center, and buy other subscriptions as needed. As a global or billing admin, you have 90 days to reactivate the subscription with all data intact.

  • User access Your users won't be able to use services like OneDrive for Business, or access customer data—for example, email or documents on team sites. Office applications, like Word and Excel, will eventually move into a read-only, reduced functionality mode and display Unlicensed Product notifications.

Important

If you want your subscription data to be deleted before the typical Disabled stage is over, you can close your account.

Note

If you explicitly delete a subscription, then it skips the Expired and Disabled stages and the SharePoint Online data and content, including OneDrive, is deleted immediately.

What are my options if my subscription is about to expire?

While a subscription is active, you and your end users have normal access to your data, services like email and OneDrive for Business, and Office applications. As the admin, you'll receive a series of notifications via email and in the admin center as your subscription nears its expiration date.

Before the subscription actually reaches its expiration date, you have a few options:

  • Enable recurring billing for the subscription.

    • If Recurring billing is already turned on, you don't have to take any action. Your subscription is automatically billed, and you are charged for an additional year or month, depending on your current payment frequency. If for any reason you've turned Recurring billing off, you can always turn Recurring billing back on.

    • If you purchased Microsoft 365 Apps for business with a prepaid card, you can turn on Recurring billing for your subscription.

    • If you're an Open Volume Licensing customer with a prepaid, one-year subscription, contact your partner to purchase a new product key. You'll receive instructions via email to activate your key in the Volume Licensing Service Center.     • If you have Microsoft 365 Apps for business, see Manage recurring billing for your subscription.

  • Let the subscription expire.

    • If you're paying by credit card or invoice and you don't want to continue your subscription, turn Recurring billing off. Your subscription ends on its expiration date, and you can ignore all related email notifications.

    • If you're an Open Volume Licensing customer working with a partner, you can let your subscription expire by taking no action.

    • If you're a Microsoft 365 Business Standard customer, and you prepaid for your subscription and activated it with a product key, you can let your subscription expire by taking no action.

  • Cancel before the subscription expires. For details, see Cancel your subscription.

What happens after my subscription expires?

If you let your subscription expire, it goes through multiple states before it is ultimately deleted. This gives you, as the admin, time to reactivate if you want to continue the service, or to back up your data if you decide you no longer want the subscription.

Here's what you can expect when your subscription is in each state.

State: Expired

What to expect: The Expired stage lasts for 30 days for most subscriptions, including subscriptions purchased through Microsoft Open, in most countries and regions. For Volume Licensing products, except for Microsoft Open, the Expired stage lasts 90 days.

In this state, users have normal access to the Microsoft 365 portal, Office applications, and services such as email and SharePoint Online.

As an admin, you still have access to the admin center. Don't worry—global or billing admins can reactivate the subscription and continue using Microsoft 365. If you don't reactivate, back up your data.

State: Disabled

What to expect: If you don't reactivate your subscription while it is in the Expired stage, it moves into a Disabled stage, which lasts for 90 days for most subscriptions, in most countries and regions. For Volume Licensing products, the Disabled stage lasts 30 days.

In this state, your access decreases significantly. Your users can't sign in, or access services like email or SharePoint Online. Office applications eventually move into a read-only, reduced functionality mode and display Unlicensed Product notifications. You can still sign in and get to the admin center, but can't assign licenses to users. Your customer data, including all user data, email, and files on team sites, is available only to you and other admins.

As a global or billing admin, you can reactivate the subscription and continue using Microsoft 365 with all of your customer data intact. If you choose not to reactivate, back up your data.

State: Deleted

What to expect: If you don't reactivate your subscription while it is expired or disabled, the subscription is deleted.

Admins and users no longer have access to the services or Office applications that came with the subscription. All customer data—from user data to documents and email—is permanently deleted and is unrecoverable.

At this point, you can't reactivate the subscription. However, as a global or billing admin, you can still access the admin center to manage other subscriptions, or to buy new subscriptions to meet your business needs.

  • Adding a new subscription of the same type that has been deleted does not restore the data that was associated with the deleted subscription.
  • If a CSP license is suspended, there is no 30 day Expired stage, and services are disabled immediately. Data is deleted after 90 days if the tenant is not reactivated by adding a new license.

What happens when my trial ends?

When your trial ends, you can't continue using Microsoft 365 for free. You have a few options:

  • Buy Microsoft 365. When your trial expires, it moves into the Expired stage, giving you another 30 days (for most trials, in most countries and regions) to purchase Microsoft 365. To learn how to convert your trial into a paid subscription, see Buy a subscription from your free trial.

  • Extend your trial. Need more time to evaluate Microsoft 365? In certain cases, you can extend your trial.

  • Cancel the trial or let it expire. If you decide not to buy Microsoft 365, you can let your trial expire or cancel it. Back up any data you want to keep. Soon after the 30 day Expired stage, your trial account information and data is permanently erased.

The Microsoft Teams Exploratory experience lets users in your organization who have Azure Active Directory (Azure AD) and aren't licensed for Teams initiate an exploratory experience of Teams. Admins can switch this feature on or off for users in their organization. The earlier Microsoft Commercial Cloud Trial is now replaced by the Teams Exploratory experience.

What's in the Teams Exploratory experience

The service plans that an admin will see as part of the Teams Exploratory experience are:

  • Exchange Online (Plan 1)

  • Flow for Microsoft 365 or Office 365

  • Insights by MyAnalytics

  • Microsoft Forms (Plan E1)

  • Microsoft Planner

  • Microsoft Search

  • Microsoft StaffHub

  • 2020 calendar with holidays trinidad and tobago. Microsoft Stream for Microsoft 365 and Office 365 E1 SKUs 1</1>

  • Microsoft Teams

  • Mobile Device Management for Microsoft 365 or Office 365

  • Office Mobile Apps for Office 365

  • Office Online

  • PowerApps for Microsoft 365 or Office 365

  • SharePoint Online (Plan 1)

  • Sway

  • To-Do (Plan 1)

  • Whiteboard (Plan 1)

  • Yammer Enterprise

    1 The change from using Microsoft Stream to OneDrive for Business and SharePoint for meeting recordings will be a phased approach. At launch, you'll be able to opt in to this experience. In November, you'll have to opt out if you want to continue using Stream. Sometime in early 2021, we'll require all customers to use OneDrive for Business and SharePoint for new meeting recordings.

Who's eligible

Users fit the criteria for a Teams Exploratory experience if they:

  • Have a managed Azure AD domain email address.
  • Belong to a tenant with a paid subscription.
  • Do not have an active Teams license.
  • Are not in a tenant where a license assignment policy was created.

Users must be enabled to sign up for apps and trials (in the Microsoft 365 admin center). For more information, see Manage the Teams Exploratory experience, later in this article.

Who isn't eligible

Users don't fit the criteria if they: Hostiles english subtitles.

  • Currently or previously had Teams from a paid, unpaid, or trial license
  • Are in a tenant that used/received at least one special COVID offer.

Your organization isn't eligible for this offer if you're a Syndication Partner Customer or a GCC, GCC High, DoD, or EDU customer.

How users sign up for the Teams Exploratory experience

Eligible users can sign up for the Teams Exploratory experience by signing in to Teams from the desktop or web (teams.microsoft.com). At this time, enabling Exploratory through mobile is not supported. When they sign up, they'll be assigned this license automatically and the tenant admin will receive an email notification the first time someone in your org starts the Teams Exploratory experience.

Manage the Teams Exploratory experience

The Teams Exploratory experience is meant to be initiated by individual end users, and you can't initiate this offer on behalf of end-user employees.

The Teams Exploratory experience comes with an Exchange Online license, but it won't be assigned to the user until the admin assigns it. If the user doesn't have an Exchange license already, and the admin has yet to assign the Exchange Online license, the user won't be able to schedule meetings in Teams and might be missing other Teams functionality.

Admins can disable the ability for end users to run the Teams Exploratory experience within their organization by using the Trial apps and services switch.

Prevent users from installing trial apps and services

You can turn off a user's ability to install trial apps and services, which would prevent the user from running the Teams Exploratory experience.

Subscription
  1. From the Microsoft 365 admin center, go to Settings > Org settings, select Services, and then select User owned apps and services.

  2. Clear the check mark from Let users install trial apps and services.

    Note

    If your organization is ineligible for the Teams Exploratory experience, you won't see the Let users install trial apps and services option.

Manage availability for a user with a license that includes Teams

A user who is assigned a license that includes Teams isn't eligible for the Teams Exploratory experience. When the Teams service plan is turned on, the user can sign in and use Teams. If the service plan is disabled, the user can't sign in and the Teams Exploratory experience isn't available. You must have admin privileges.

To turn off access to Teams:

  1. In the Microsoft 365 admin center, select Users > Active users.

  2. Select the box next to the name of the user.

  3. In the Product licenses row, choose Edit.

  4. In the Product licenses pane, switch the toggle to Off.

Manage Teams availability for users who are already using the Teams Exploratory experience

If a user is running the Teams Exploratory experience, you can turn it off by removing the license or service plan. You must have admin privileges.

To turn off the Teams Exploratory experience license:

  1. In the Microsoft 365 admin center, select Users > Active users.

  2. Select the box next to the name of the user.

  3. In the Product licenses row, choose Edit.

  4. In the Product licenses pane, switch the toggle for this exploratory license to Off.

    Note

    The Teams Exploratory toggle switch will appear after the first user in the organization launches the Teams Exploratory experience.

Manage Teams for users who have the Teams Exploratory license

Can You Still Use Microsoft Office After Subscription Expires

You can manage users who have the Teams Exploratory license just like you manage users who have a regular paid license. For more information, see Manage Teams settings for your organization.

Upgrade users from the Teams Exploratory license

To upgrade users from the Teams Exploratory license (you must have admin privileges), do the following tasks:

  1. Purchase a subscription that includes Teams.

  2. Remove the Teams Exploratory subscription from the user.

  3. Assign the newly purchased license.

Note

If the Teams Exploratory license ends and a user isn't immediately upgraded to a subscription that includes Teams, they have 30 days of grace period and then another 30 days after which time the data is going to be deleted. The user still exists in Azure Active Directory. Once a new license is assigned to the user to enable Teams functionality again, all content will still exist if the user is added within the grace period time frame.

What happens to legacy Microsoft Teams Commercial Cloud Trial licenses

As of February 2020, eligible users can begin using the latest Microsoft Teams Exploratory experience. All legacy Teams Commercial Cloud Trial licenses will be automatically converted to the new offer before their trial expires.

Can I Still Use Microsoft Office After Subscription Expires Online

When users sign in to their expired Teams Commercial Cloud Trial for the first time, we automatically assign a Teams Exploratory experience license to those users. Users aren't converted until they sign in.

How long does the Teams Exploratory experience last

As of early 2021, Teams Exploratory is available as a 12 month subscription (from initial user sign-up) for all new customers. The new Teams Exploratory subscription starts when the first user in an organization signs-up for Teams Exploratory and it will expire after 12 months. The expiry date will apply to all users in the same tenant as the 12-month term begins on the first user's sign-up date.

Note

The end date for the experience is configured at an organization level, meaning it will apply to all users in the same organization. For example, User 1 signs up for the subscription on January 1, 2021. This initiates a subscription end-date of December 31, 2021. Another user, User 2, signs up for the subscription on October 1, 2021. User 2 can use Teams Exploratory for two months, as their end-date will be December 31, 2021 because they're under the same organization's subscription as User 1.

What should administrators do at the end of the 12 month Teams Exploratory experience

At the end of the 12 month subscription, administrators should convert all Teams Exploratory users to a paid license that includes Teams. It is vital to ensure this is completed before the Teams Exploratory subscription expires to avoid any disruption to user's experience.
